In this tutorial you’ll build an AI receptionist for a clinic. It answers calls, handles common questions, and hands off to your front desk when needed. You’ll need: a wallet balance and a phone number.
1

Buy a number

Go to Phone Numbers → Buy a number. Buy a US number instantly, or submit India compliance (company legal name and GSTIN) for an Indian number. Approval takes 2 to 3 business days.
2

Add your knowledge

Go to Knowledge Base and upload a short FAQ document (PDF, TXT, or DOCX, up to 2 MB) with opening hours, address, doctors, services, and fees. Or click Import website to pull in your site’s pages.
3

Create the assistant

Go to AI Assistants and click Clinic Appointment Scheduler.
  • Agent name: Asha
  • First message: Thank you for calling Acme Clinic, this is Asha. How can I help you today?
  • Replace the clinic details in the instructions with your own.
4

Configure settings

On the Settings tab:
  • Role: Inbound
  • Inbound phone number: the number you bought
  • Who speaks first?: Agent speaks first, so callers hear the greeting right away
  • Interruption sensitivity: Default, or Strict if many callers are in noisy places
5

Add a human fallback and knowledge

On the Advanced tab:
  • Transfer to Human: your front desk number, in E.164 format (for example +919876543210)
  • Knowledge documents: select your FAQ
  • Ticketing Integration: optional, if you’ve connected Zoho Desk or Zendesk
Add to the instructions:
Click Create Assistant.
6

Test

Call your number from your phone. Ask about opening hours, book an appointment, and ask for a person to check the transfer.
7

Monitor

Track Answered by AI, Escalated to Human, and Missed on the Dashboard, and read call summaries on Conversations.
